Job Summary

The Executive Assistant provides a broad range of administrative, technical and clerical support to the President and any associated staff.  They also serve as an integral part of the departmental team.

Job Responsibilities

  • Accurately and confidentially handle the correspondence, reports, materials and non-routine information for the Site Director.
  • Schedule, organize and coordinate the activities for the Site Director and members of associated staff including business meetings, travel arrangements, appointments and conferences.
  • Organize and complete a variety of nonrecurring and ongoing projects assigned by the Site Director and staff including but not limited to: special reports to the COO, spreadsheets, presentations, strategic plans, and data analysis.
  • Responsible for working with company’s Sharepoint site, including reporting; might serve
  • Support multiple and concurrent activities, providing administrative guidance and support to a variety of activities and projects.  Work independently or in a team.
  • Maintain an in-depth working knowledge of the organization, disciplines supported, organizational systems, budget and planning methodologies, training methods, business practices, policies, procedures and activities.
  • Effectively and promptly communicate with internal and external customers relative to the department’s policies and practices, answer applicable questions and alert departmental leadership relative to issues affecting the department and the company as a whole.
  • Establish and maintain filing system for the department.
  • May provide guidance to less experienced administrative personnel. 
  • Pursue personal development of skills and knowledge necessary for effective performance. 
  • Performs other duties, tasks and responsibilities as assigned.

Job Qualifications

Required Qualifications

  • High school degree or equivalent.
  • 3+ years of administrative support experience in a professional environment, supporting multiple people, required.  
  • 3+ years of experience with the MS Office Suite specifically Word, Excel, and Powerpoint, required.
  • U.S. Person per ITAR regulations to comply with export compliance and site SSA requirements.
  • Maintain discretion and confidentiality with sensitive materials and information 

 

Additional Qualifications

  • Excellent written, verbal and collaboration skills.
  • Experience with Sharepoint, including running reports, preferred.
  • Experience with MS Project preferred.
  • Able to interface well with all departments of the company and to represent the company in a highly professional manner.  
  • Must be customer service driven.
  • Must maintain the highest level of confidentiality, handling company private, sensitive and personal information in a professional and discrete manner.

What You'll Do

  • Manage calendars, travel, meetings, and logistics for the Site Director and leadership team.
  • Handle confidential correspondence, reports, and materials with professionalism and discretion.
  • Coordinate and support special projects—think presentations, reports, strategic plans, and data analysis.
  • Help maintain and update our SharePoint site and assist with reporting tasks.
  • Support multiple ongoing activities, working independently or as part of a team.
  • Keep things organized—maintain filing systems, track deadlines, and follow up on action items.
  • Communicate clearly and professionally with internal and external stakeholders.
  • Provide guidance to junior administrative staff when needed.
  • Stay curious—pursue opportunities to grow your skills and knowledge.

What You Bring

  • High school diploma or equivalent.
  • 3+ years of experience supporting multiple professionals in a fast-paced office environment.
  • A high level of discretion and professionalism when handling sensitive information.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • U.S. Person status per ITAR regulations.
