Job Summary

The Executive Administrative Assistant support the site leadership with a broad range of administrative, technical and clerical support. This position also serve as an integral part of the management team for the site.
 

Job Responsibilities

  • Accurately and confidentially handle the correspondence, reports, materials and non-routine information.
  • Schedule, organize and coordinate the complex and critical activities for the Site Director and members of their staff including business meetings, travel arrangements, appointments and conferences.
  • Organize and complete a variety of nonrecurring and ongoing projects assigned including but not limited to: special reports, spreadsheets, presentations, strategic plans, and data analysis. 
  • Act as a liaison with other departments and outside agencies, including high-level staff such as VP/GM and Site Leadership, Presidents, Senior Vice Presidents and Chiefs.
  • Support multiple and concurrent activities, providing administrative guidance and support to a variety of activities and projects.  Work independently or in a team.
  • Maintain in-depth working knowledge of the organization, disciplines supported, organizational systems, budget and planning methodologies, training methods, business practices, policies, procedures and activities.
  • Evaluate administrative systems, detecting and resolving problems to assure compliance to site policy, customer requirements and regulatory agency guidelines.
  • Effectively and promptly communicate with internal and external customers relative to the site’s policies and practices, answer applicable questions and alert site leadership relative to issues affecting the site and company as a whole.
  • Establish and maintain personal & business filing system. 
  • Plan and administer all events for the St. Louis site such as holiday parties, United Way drives, and any other event associated with the site. 
  • Counsel and mentor junior administrative personnel. 
  • Pursue personal development of skills and knowledge necessary for effective performance. 
  • Performs other duties, tasks and responsibilities as assigned. 

Job Qualifications

  • Bachelor’s degree, and/or secondary education/certificate in a related field or experience in lieu of degree. 
  • 5 years in an executive level support position.  
  • U.S. Person per ITAR regulations to comply with export compliance and site SSA requirements

  • Excellent written, verbal and collaboration skills
  • Able to interface well with all departments of the company and to represent the company and Site Director in a highly professional manner.  
  • Customer service driven, able to understand and support business goals and objectives.  
  • Must maintain the highest level of confidentiality, handling company private, sensitive and personal information in a professional and discrete manner.  
  • Experienced in handling a wide range of administrative and executive support related tasks 
  • Ability to work independently with minimal supervision, coordinating projects, setting priorities, and meeting deadlines 
  • Experience collaborating with multiple departments across the organization utilizing exemplary interpersonal skills 
  • Excellent calendar management skills, including the coordination of meetings 
  • Proficient in Microsoft Office (Outlook, Word, Excel and Power Point), Adobe Acrobat and social media web platform 
  • Experience preparing executive level meeting materials including Power Point presentations 
  • Attention to detail including thoroughness and prompt follow up 
  • Must possess the ability to interact with staff at all levels in a fast paced environment, remaining flexible, resourceful and efficient 

 

Physical Demands

  • Frequently required to spend long hours sitting at a work stations.
  • May be required to walk or stand for brief periods.
  • May be required to use stairs when elevator is not available.
  • May occasionally lift, carry, push, pull or otherwise move up to 25 pounds of office supplies and materials.  
  • May be required to reach with arms and hands and to stoop, kneel or crouch.
