Job Summary

The Document Controller is responsible for managing and maintaining the organization's quality, maintenance, and calibration records to ensure compliance with aviation regulatory requirements, Quality Management System (QMS), and Safety Management System (SMS) standards. This role ensures the accuracy, traceability, retention, and control of technical documentation, maintenance records, manuals, and calibration data. The incumbent supports regulatory compliance by monitoring document revisions, training and qualification records, vendor certifications, and calibration programs, while ensuring all records are properly archived, accessible, and maintained in accordance with Part 145 and company requirements. The role also contributes to continuous quality assurance activities and supports the organization's commitment to safety, compliance, and operational excellence.

Job Responsibilities

  • Assist in maintaining the Quality Management System (QMS) and associated documentation.
  • Maintain records of quality findings and trend analyses.
  • Maintain controlled copies of quality-related manuals, procedures, and regulatory references.
  • Monitor revisions and amendments to regulatory publications and company manuals.
  • Ensure quality and maintenance records are properly retained, archived, and retrievable.
  • Verify completeness, accuracy, and traceability of maintenance records, work packages, task cards, and release documentation.
  • Support the organization's Safety Management System (SMS) activities.
  • Support quality, compliance, and regulatory training programs.
  • Monitor personnel qualification and training records related to quality functions.
  • Administer the company Calibration Control Program for tools, test equipment, and measuring devices.
  • Maintain calibration schedules and ensure all applicable equipment is calibrated within prescribed intervals.
  • Monitor calibration status and ensure unserviceable or expired equipment is properly identified and removed from service.
  • Monitor vendor qualification and currency of their certificate.

Job Qualifications

  • Diploma/Degree in Aviation/Aircraft Maintenance
  • Strong knowledge of Part 145 regulations and aviation quality standards.
  • Familiarity with aviation regulatory requirements and maintenance processes.
  • Understanding of Quality Management Systems (QMS) and Safety Management Systems (SMS).
  • Experience in Technical Record/Calibration Programme is an advantage.
