Job Summary

Own the effective administration, data quality, governance, reporting, and user support of Maintenance Connection for the Garden Grove Facilities Engineering, Repair & Maintenance organization. The Maintenance CMMS Specialist converts maintenance activity into reliable system records, dashboards, asset history, PM master data, and actionable insights that support planning, scheduling, reliability, spares, compliance, and leadership decision-making. This role is cross-trained with the Maintenance Planner/Scheduler and provides backup coverage for routine planning and scheduling support, but remains distinct by owning CMMS configuration, master data governance, user support, reporting, and data standards rather than weekly schedule ownership, job-plan sequencing, or labor coordination.

Job Responsibilities

CMMS Governance & System Administration

  • Administer Maintenance Connection as the system of record for maintenance work intake, asset records, PM master data, work orders, status visibility, and maintenance history.
  • Maintain data governance standards including asset hierarchy, naming conventions, priorities, failure codes, locations, requester information, and closure documentation.
  • Support CMMS configuration changes, data cleanup initiatives, dashboard enhancements, system controls, and standardization efforts to ensure accurate and reliable maintenance data.

PM, Work Order & Asset Data Management

  • Maintain and validate PM, work-order, backlog, asset, and spare-parts data to support maintenance planning and execution.
  • Prepare reports, identify missing or inaccurate data, and ensure work-order and PM records are complete and current.
  • Support asset criticality assessments, PM optimization, failure analysis, critical spares management, vendor history, and equipment reliability initiatives in partnership with Maintenance, Reliability, Stores, and Engineering teams.

Maintenance Reporting & Analytics

  • Develop, maintain, and analyze maintenance KPIs and reports including PM compliance, backlog health, work-order aging, emergency work, closure quality, labor utilization, and parts usage.
  • Identify trends, data-quality issues, repeat failures, high-maintenance assets, and process improvement opportunities to support operational and leadership decision-making.

User Support, Training & Process Compliance

  • Provide first-line support for Maintenance Connection users across Maintenance, Operations, Facilities, Stores, and Leadership teams.
  • Troubleshoot system access and application issues, develop user guidance, and deliver training on CMMS processes, mobile applications, asset selection, status updates, and documentation requirements.
  • Promote compliance with work-request, work-order, and closeout standards to ensure consistent system use and data quality.

Cross-Functional Coordination & Data Readiness

  • Partner with the Maintenance Planner/Scheduler by providing CMMS data, reporting, and backup support for planning and scheduling activities as needed.
  • Ensure contractor, project, and facility work is properly captured in Maintenance Connection, including asset history, PM additions, risk assessments, and turnover documentation.
  • Support data readiness, system controls, and documentation requirements while management and HR retain responsibility for operational approvals, labor decisions, and personnel matters.

Job Qualifications

  • Bachelor’s degree in Information Systems, Data Analytics, Industrial Technology, Engineering, Maintenance Management, Business, or a related technical field; equivalent experience may be considered where appropriate.
  • 2+ years of experience in maintenance administration, CMMS support, data management, planning support, manufacturing operations, facilities, or a comparable technical/customer-service environment.
  • At least 1 year of hands-on Maintenance Connection experience, including work orders, assets, preventive maintenance records, reporting, or user support.
  • Working knowledge of CMMS-based work-order governance, asset hierarchy, PM records, backlog reporting, equipment history, and maintenance performance metrics.
  • Strong data-quality discipline, attention to detail, analytical capability, and ability to convert maintenance data into clear reports and follow-up actions.
  • Ability to communicate effectively with maintenance technicians, supervisors, planners, engineers, stores personnel, operations users, contractors, and leadership.
  • U.S. Person status as required to support export compliance and ITAR-controlled aerospace and defense manufacturing operations.

Preferred Qualifications

  • Advanced Maintenance Connection reporting, administration, dashboard, import/export, or configuration experience.
  • Experience supporting maintenance planning, PM load leveling, backlog review, spares linkage, or work-order improvement in a manufacturing or facilities environment.
  • Experience with Excel, Power BI, or similar tools for KPI reporting, trend analysis, data cleansing, and leadership dashboards.
  • Familiarity with aerospace, defense, cleanroom, chemical, utilities, or regulated manufacturing documentation expectations.
  • Strong customer-service orientation with the ability to train users, reinforce process discipline, and resolve system or workflow issues.
  • Ability to provide backup planning or scheduling support without assuming primary planner accountability or supervisory authority.

Compensation Data

Salary Range: $84,048.00 - $105,059.00
