Job Summary

Reporting directly to the VP Western Approach, acting as the first point of contact and Office Manager across the site.

Job Responsibilities

  • Providing a full PA service, including diary management, arranging appointments, dealing with/responding to e-mails and typing of correspondence.

  • Screen phone calls, enquiries and requests and handle them as appropriate for VP Western Approach.

  • Coordinate all visits to Western Approach to include diary management of meeting rooms and booking in of visitors.

  • Meeting and greeting visitors at all levels of seniority.

  • Manage expenses claims for VP, Leadership Team & Working Party.

  • Set up and attend meetings ensuring that appropriate materials are available for example presentations/information, refreshments, etc.

  • Attend meetings and document minutes and circulate to attendees.

  • Coordinate travel bookings for senior staff, business travelers at Western Approach and Working Party staff to include flights, accommodation, visa applications, train, ferry bookings.

  • Plan and coordinate business briefing sessions including the preparation of presentation packs for all High Level and Executive Monthly Reviews

  • Co-ordinate Site events to include Family Fun Days, Summers BBQ’s, Christmas events.

  • Facilitate and screen all SRM pre-approval requests and receipt goods as required.

  • Manage and screen all overtime approvals for all staff across Western Approach.

  • Act as site point of contact for work wear and place all orders.

  • Manage Stationery supplies and all other office consumables site wide.

  • Assist the HR team with coordinating Training sessions/EngageMe Surveys/ Positive Climate Index sessions.

  • Control approvals for folder and door system access requests.

  • Deal with incoming and outgoing post.

Job Qualifications

Required Experience:

  • Previous PA/Administrator experience

  • GKN Experience

  • Exceptional communication skills both verbal and written

  • High level of discretion and diplomacy

  • Ability to build and maintain strong relationships with people at all levels

  • Accuracy and attention to detail essential
