Job Summary

This role can be based at any site in the UK. 

To provide support to the Business Manager and Director of Business Management with regards to commercial, procurement, financial and data analysis activities, including liaison with external supplier personnel and internal GKN Managers as required.

Job Responsibilities

Attendance and Activity Cost Collection
Update of budget coverage (WPAF)
Setup and administration of activity booking (ERP) systems
Provision of routine and ad hoc project reports to chief engineers and programme managers
Enablement of and advice to engineers with regards to recording their time, attendance and activity
Adjustments/corrections to job bookings in support of projects under direction from programme managers & chief engineers
Liaison with the GKN Bangalore business support team (data loaders) and checking their inputs
Input of activity on behalf of engineers unable to connect to the reporting system

Procurement Management
Administration of Purchase Order Requests
Review of external and internal invoices into engineering prior to approval or rejection
Maintenance of purchase tracker and register of planned purchases

Commercial Management
Registration and maintenance of commercial documents NDAs/MSAs/WPAs
Maintenance of register of SoW releases and collation of supplier proposals

Finance Management
Compilation of non-activity recharges in and out of engineering (e.g. employee expenses and site recharges)
Assembly and pivoting of invoicing reports to enable the Finance Controller to enact and report month-end recoveries and financial journals
Co-ordination of charges into Engineering from GKN India, Papendrecht, Munich, ELMO, Bucharest, Helmond, etc.
Maintenance of financial accruals relating to department expenditure
Assistance with creation of annual budgets

General Management
Data analysis for KPI reporting (financial, attendance, overtime, budget coverage, PO levels, etc)
Chasing of inputs and approvals – timesheets, purchase orders, WPAFs, Supplier requests to invoice and invoice submission/payments
Liaison with Resource Co-Ordinators with regards to headcount and activity reporting
