Job Summary

The HR Coordinator is focused on helping HR senior leaders and business partners accomplish HR-related tasks and projects. Their work involves carrying out administrative, tactical steps required to administer the HR function in the areas of rewards, HRIS system updates scheduled compliance requirements, employee onboarding and off-boarding, standard reporting and support to HR as the HRIS champion.  

Job Responsibilities

  • Administrative expertise in SuccessFactors (Wilbur) and strong understanding of system set up and implications of changes, with particular focus on Employee Central module.
  • Maintain Wilbur employee changes for US Salary employees (non-SSA) and support local HR as a champion for employee system changes.
  • Build strong relationships with key stakeholders to understand their needs and provide training and guidance to the US HR community on systems and standard processes.
  • Act as a coordination point between local HR teams, the Wilbur team and the regional HR administration teams in respect of Wilbur and systems.
  • Cascade and customise communication from the Wilbur team to relevant stakeholders and also share feedback to Wilbur team from users within the region.
  • Deliver training on the relevant system data reports and associated analysis for relevant stakeholders.
  • Assists in onboarding efforts, including interacting with applicants; collection, data entry, and processing of relevant candidate and new hire information; and reporting.
  • Preparation and maintenance of employee files; conducting onboarding and orientation activities, and acting as a point person for all new employee questions.
  • Responsible for creating, maintaining, and auditing complete and accurate HR files and databases relating to all employment and benefits-related records.
  • Coordinate and assist in the completion US relevant compliance requirements.  Including reporting of ACA, PCORI, EEO, annual employee notices, Vets 100, OFCCP.
  • Work with benefits team on consolidation of data for annual audits and non-discrimination testing of 401(k), pensions, data collection for 5500 reporting.
  • Assist the payroll and HR team on the California workforce pay data to submit into DFEH.
  • Assist with the AAPs with all sites in North America to meet standards.  
  • Provide monthly standard reporting to senior HR team.
  • Assist in the development and distribution of data and reporting as required, including preparing reporting in PowerPoint.
  • Provide adhoc reports as needed by senior HR team.
  • Provide administrative support to the HR Leadership team; tasks include coordination of meeting, project prep, and general requests as required.

Job Qualifications

Required Qualifications

  • 5+ years of full-time administrative or human resources experience involving daily interaction with employees and managers required.
  • Strong knowledge of HR systems, with particular focus on Success Factors (including the Employee Central module) required.
  • Strong HR process knowledge and experience of HR Business Process framework required.
  • Strong Microsoft Office skills (incl. Word, Excel and PowerPoint).
  • Ability to travel periodically to sites required.

  • Ability to effectively work autonomously with the support of the VP Total Rewards and the wider US Leadership team.
