Job Summary

We are seeking an Executive Assistant who can provide efficient and proactive administrative support to the Chief Technology Officer, based at our state-of-the art Global Technology Centre (GTC) in Filton, Bristol. As a primary point of support for members of the Aerospace Executive Committee, the Executive Assistant will also provide support to the Vice President (External Relations and Civil Business Lines) and the Vice President (Strategy). As an Executive Sponsor, this person will ensure the smooth running of the top floor of the GTC as well as supporting initiatives aimed at promoting the mission of the GTC with internal people, external guests and partners.  

Job Responsibilities

  • Diary management, ensuring proactive planning and preparation for all appointments. The primary objective to ensure the maximisation of the CTO & VP’s schedule(s) whilst protecting personal planning and renewal time. 
  • Arrange and support meetings, liaising with other EA’s to minimise diary disruption; work with GTC visitor booking process and subsequent meet and greet
  • Coordination of events to include securing appropriate venues, accommodation, catering, travel and facilitation of such events on the day as appropriate.   
  • Support CTO and wider CTO team with annual planning and communication activities. 
  • Whereas with modern IT systems, GKN Aerospace will move to all individuals taking responsibility for work related administration (travel, logistics, expenses etc ) the role will coordinate more complex travel and visits (for example where more complex procedures, regulations or plans are required). 
  • Work collaboratively with the other EA’s to be a robust and effective team within the GTC.  Provide cover for other EA’s during periods of absence. 
  • Be an active member of GTC H&S presence to ensure adherence to all H&S procedures and guidelines; promote and support positive employee welfare within the working environment where and as required.
  • Co-ordinate arrangements for new starters/leavers – working with HR, IT, finance, security and GTC operations team for inductions and requisition of all necessary equipment to ensure smooth on boarding. 
  • To act as executive sponsor for the top floor in the GTC to encompass responsibilities such as, but not limited to: DSE assessment and follow up, maintaining stock levels, monitoring meeting room standards, welfare issues, H&S and general point of contact for issues relating to the floor.  
  • Able to maintain an effective liaison network with internal & external key stakeholders/organisations as required (i.e Academia/Government bodies/Customers).
  • Maintain records of overseas GKN aerospace visiting personnel to the UK visiting GKN engineering or technology locations for HR regulatory compliance.
  • In addition to these functions the job holder will be expected to perform other such duties as may reasonably be required 
  • They will be a standard for the desired culture and behaviour at the GTC. Flexibility will be required around occasional out-of-hours working and the ability to be contactable subject to business priorities.

  • Experienced Executive Assistant 
  • Proficient in all Microsoft Office packages
  • Excellent written and verbal communication skills
  • Ability to operate autonomously, in anticipating needs, risks and opportunities and proactively tackling them.
